Job Title: Servicing Document Processor II

Job Summary: Performs all functions related to documentation required for the SBA Servicing department’s loan portfolio of SBA 7(a) and 504 loans, up to and including: Prepare all required LaserPro documents and other related loan documents; order and review real property title reports; prepare escrow instructions; ensure the Bank’s insurance requirements are met and the Bank’s liens are in the proper position; monitor & extend expiring UCC records; monitor delinquent property tax records; Primary duties relate to general business operations of SBA loan servicing, may take direction from others such as Portfolio Managers, Construction Loan Processors, and other department supervisors. Must exercise discretion and independent decision making.
Duties and Responsibilities:
- Primary responsibility of preparing all Laserpro loan documentation for post-closing servicing actions in compliance with SBA and Bank guidelines, and then reviewing documents for accuracy and ensuring all conditions of the servicing action are met. Documentation forms include change in terms, re-conveyance, deed of trust, guaranty, subordination, etc.
- Interface with title/escrow companies to secure title reports and prepare escrow instructions as required for each specific servicing transaction. Must have working knowledge of title reports, exceptions, and applicable endorsements that may be required.
- Responsible for collecting and reviewing the accuracy of all required information from borrowers and/or third-party representatives. Required Information includes Flood Verifications, UCC Searches, Title Insurance, OFAC searches, and various Documents from the Secretary of State (all entity formation documents, business license, etc.). Information reviewed will ensure proper lien position and that all servicing action requirements are met.
- Input required servicing updates to the SBA CAFS system & interact with SBA offices as required.
- Assist department in monitoring and reviewing upcoming UCC expiration’s in the Bank’s on line UCC portfolio. Secure any UCC terminations as required per the servicing action request or as part of the paid loan process.
- Assist department in monitoring and reviewing property tax records in the Lereta 3rd party monitoring platform. Work with portfolio managers to notify borrowers of any delinquencies.
- Assist in obtaining, copying, and filing of financial statements, forms and other loan covenant or tickler documents related to the loan. This will include generating borrower covenant letters from PCFS Loan Manager and sorting & filing incoming covenant items.
- Assist with credit reporting for the department portfolio to third party credit agency using an excel-based file format.
- Assist as needed the review & maintenance of insurance requirements for the loan portfolio, utilizing the PCFS Loan Manager Tickler Report on a daily or as required basis. Heavy interaction with insurance agencies in order to obtain current insurance certificates, etc.
- Assist as needed with paid loan processing that includes preparation of various release forms as required for each loan.
- Able to work under tight time deadlines and handle pressure without sacrificing quality.
Organizational Relationships:
- Daily contact with SBA Operations Manager, SBA Loan Portfolio Managers, SBA Construction Loan Processors, Credit Officers, BDO’s, Loan Processors and Team Leaders in loan processing.
External Business Relationships:
- Moderate telephone and e-mail contact with customers, title companies, insurance agents, and/or other 3rd party vendors and professionals.
Working: Must demonstrate a high degree of customer service skills to include the use of tact and diplomacy in daily interactions. Exhibit professional telephone etiquette regularly and have superior time management skills.
Language: Must be able to read, analyze and interpret general business periodicals, journals, technical procedures or governmental regulations. Demonstrate the ability to write reports and business correspondence. Exhibit the ability to effectively present information and respond to questions from all Bank personnel and customers.
Mathematical: Must possess the ability to compute and apply mathematical concepts, calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
Reasoning: Exhibit the ability to apply common sense in dealing with problems and ascertain a solution to variable situations. Meeting deadlines is essential to this job.
Interpersonal: Must possess high degree of customer service and communication skills for interaction with internal and external customers, and Bank personnel. Must be able to take direction and assist SBA Portfolio Managers, Construction Loan Processors, and other team members as required.
Computer: Requires excellent computer skills and software knowledge of Windows, Word and Excel. Will be trained on PCFS Loan Manager, SBA CAFS, Lereta, Synergy, and Diligenz systems.
Education and Experience: Requires knowledge, skill and mental development equivalent to the completion of high school. SBA experience is preferred but not required. Position requires a minimum three (3) years of banking experience with at least one (1) year of Laserpro documentation experience. Requires working knowledge of title reports, title exceptions, escrow instructions, and necessary endorsements to title policy. Must exhibit a high level of organizational skills, attention to detail and work under tight time deadlines.
